POTHOLE PATROL

Terms & Conditions

PotholePatrol.co.uk · A service by Connectdos Ltd

Effective Date: 1 October 2026

Welcome to Pothole Patrol (potholepatrol.co.uk). By using our platform you agree to the following terms. Please read them carefully — they set out what we do, what we do not do, and your responsibilities as a user.

1. The Service Provided

Pothole Patrol is a civic accountability platform. We provide:

  • GPS-verified, timestamped evidence-logging technology.
  • A pre-filled notification link to your local authority, generated at point of submission for you to submit directly.
  • A 28-day tracking window from the date of your report, monitoring whether the council has responded.
  • An accountability toolkit (pre-written MP letter templates, evidence packs) that unlocks automatically when a council passes the 28-day window.
  • A national data-sharing platform displaying road defect records by area.

Reporting and tracking are free. Making a claim using the evidence file costs a one-off £9.99. There is no subscription and no card is required to report.

2. No Legal Advice

Pothole Patrol is not a law firm and does not provide legal advice. The information on this website and within the platform — including the accountability toolkit, MP letters and evidence packs — is for informational purposes only.

  • Our templates use structured, formal language but do not constitute legal advice.
  • If you are pursuing litigation or formal enforcement action against a local authority, you should consult a qualified solicitor.
  • Pothole Patrol does not introduce you to solicitors, manage claims on your behalf, or receive fees for introducing you to third parties.

3. The One-Off Claim Fee

Reporting a pothole and tracking your council's response is entirely free.

If you choose to make a claim against the council, a one-off fee of £9.99 applies for the evidence pack: the GPS-tagged report, the dated notification record, and the 28-day tracking log. No subscription, no recurring charge, and no card is ever required simply to report.

  • The £9.99 fee is charged only when you choose to access the full claim-ready evidence pack.
  • Refunds are subject to our standard refund policy. Contact us within 14 days of payment if you have a query.

4. Accuracy of Data

By using the platform you agree to provide truthful and accurate photographs and location data.

  • Submitting false or fabricated road defect reports is a breach of these terms and may undermine the collective credibility of the Pothole Patrol record.
  • Pothole Patrol reserves the right to remove any reports found to be fraudulent, malicious or inaccurate, and to suspend accounts used to submit them.

5. Limitation of Liability

Pothole Patrol and its parent company Connectdos Ltd shall not be held liable for any vehicle damage, personal injury, financial loss, or enforcement action resulting from road defects or from your interaction with a local authority. Our role is to provide a timestamped evidence record; the decision to act on that record is yours.

6. Privacy & Data Usage

Your privacy is important. We use your data only for the purposes below.

What we collect

Your email address, name, and GPS location data for reports you submit. Photographs you upload are stored securely to support your evidence record.

How we use your data

  • To create your report, generate the notification link and build the evidence record.
  • To populate the national heatmap showing road defect records by area.
  • To send you updates about your reports and account.
  • To improve the platform.

What we will never do

  • We will never sell your personal contact details to third parties.
  • We will never share your individual data with advertisers or marketing companies.
  • We will never pass your details to a solicitor or claims firm without your explicit consent for that specific instruction.

We may share aggregated, anonymous data (for example, "500 reports in Warwickshire") with the media, MPs and councils to drive national change. This data cannot be traced back to individual users.

7. Changes to These Terms

We may update these terms from time to time. The effective date at the top of this page will reflect the most recent revision. Continued use of the platform after any change constitutes your acceptance of the updated terms.
